Essential Job Duties and Responsibilities
Room Assignment & Status Management:
Coordinate room assignments for the housekeeping team based on guest arrivals, departures, and special requests.
Monitor the status of rooms, including room cleaning, maintenance, and FOP requests, ensuring that rooms are ready for check-in on time.
Communicate with the front desk to provide updates on room status, ensuring that any changes are promptly communicated to both housekeeping and guest services.
Assist in managing room changes, upgrades, and late checkouts to ensure room availability is optimized.
Staff Scheduling & Coordination:
Assist the housekeeping supervisor in scheduling housekeeping staff shifts, ensuring adequate coverage during peak and off-peak hours.
Coordinate with the front desk and other departments to ensure that housekeeping needs align with guest demands and operational requirements.
Monitor attendance, track hours worked, and manage time-off requests for housekeeping staff.
Ensure that all housekeeping staff have the necessary supplies, tools, and information to perform their duties efficiently.
Guest Requests & Communication:
Manage guest requests related to housekeeping, including extra towels, amenities, or special accommodations, and ensure they are fulfilled promptly.
Communicate any special instructions or requests from guests to housekeeping staff, ensuring proper delivery of services.
Handle guest complaints or issues regarding cleanliness or room conditions, escalating to the housekeeping supervisor or management as needed for resolution.
Inventory & Supply Management:
Monitor and track housekeeping supplies, ensuring that all necessary cleaning products, linens, towels, and amenities are in stock.
Work with the housekeeping supervisor to place orders for supplies as needed and ensure inventory is maintained at optimal levels.
Organize and maintain storage areas for linens, cleaning products, and other housekeeping supplies, ensuring everything is easily accessible and properly stored.
Administrative Support & Reporting:
Assist in maintaining accurate records of room status, housekeeping activities, and staff performance.
Prepare daily, weekly, and monthly reports related to room cleanliness, guest satisfaction, and inventory levels.
Perform administrative tasks such as filing, updating logs, and assisting with payroll documentation for housekeeping staff.
Ensure that all special requests, maintenance needs, and housekeeping reports are accurately documented and communicated to the appropriate departments.
Team Collaboration & Support:
Collaborate with other hotel departments, such as the front desk, maintenance, and guest services, to ensure seamless operations and a high level of guest satisfaction.
Serve as a point of contact for housekeeping staff, providing guidance and assistance throughout their shifts.
Assist with staff training and onboarding, ensuring that all team members are familiar with the hotel’s housekeeping policies, procedures, and standards.
Health & Safety Compliance:
Ensure that all housekeeping operations adhere to hotel health and safety standards, including proper handling of cleaning chemicals, equipment, and linens.
Ensure that cleaning procedures follow the required hygiene and safety protocols, minimizing risks to both staff and guests.
Monitor the condition of hotel equipment and report any issues to maintenance, ensuring that all equipment is safe and functional.
Education and/or Experience
High School Diploma or equivalent required; Associate’s degree in hospitality management or a related field is a plus.
Previous experience in a housekeeping or hotel operations role is required; supervisory or coordination experience is preferred.
Familiarity with hotel property management systems (e.g., Opera, InforHMS, or similar) is beneficial.
Basic knowledge of housekeeping standards, cleaning processes, and inventory management.
Skills/Specialized Knowledge
Strong organizational and multitasking skills, with the ability to prioritize tasks and manage time efficiently.
Excellent communication skills, both verbal and written, with the ability to interact effectively with guests, staff, and other departments.
Strong attention to detail to ensure that housekeeping operations meet high standards of cleanliness and guest satisfaction.
Ability to handle guest complaints or special requests in a professional, courteous, and timely manner.
Ability to work under pressure and adapt to changes in the daily operational environment.
Physical Demands
Ability to sit or stand for extended periods of time.
Ability to occasionally lift or move up to 25 pounds (e.g., linens, supplies).
Frequent use of hands, fingers, and wrists for typing, answering phones, and organizing paperwork.
Ability to work in a fast-paced environment, balancing multiple tasks and responsibilities at once.
