Concierge Events Planner

Reporting to the Concierge Events Manager, the Concierge Events Planner is responsible for supporting the planning, coordination and execution of private events at their respective locations. This role assists with guest communication, contract preparation and event logistics while ensuring a seamless experience from inquiry through event completion. The Concierge Events Planner works closely with the Concierge Events Manager and all operational departments to ensure events are organized, communicated effectively and executed to Cake Bake Shop standards.


This role focuses on administrative support, guest service and detailed event coordination while helping drive successful private events for The Cake Bake Shop.


Core Objectives of the Role (this list is not all inclusive)

  • Supports the Concierge Events Manager in the planning and coordination of private events

  • Assists with responding to guest inquiries, gathering event details and communicating available options and packages

  • Prepares contracts, proposals and event documentation through Tripleseat

  • Maintains organized and accurate records for all event accounts, including guest communication and notes

  • Assists with coordinating event logistics including timelines, guest counts, menus, room layouts and special requests

  • Ensures all event elements are properly communicated to the appropriate departments prior to execution

  • Supports the preparation of Banquet Event Orders (BEOs) and ensures details are updated and accurate

  • Attends weekly meetings with Savory, Production and FOH Management to review upcoming events

  • Assists in conducting property tours for prospective clients and sharing information about Cake Bake Shop offerings

  • Works closely with the Concierge Events Manager to ensure all guest expectations are clearly documented and communicated

  • Assists with day-of event coordination when necessary to ensure successful execution

  • Maintains communication with clients leading up to their event to confirm details and ensure preparedness

  • Provides administrative support including managing calendars, event files and departmental documents

  • Maintains brand standards and provides exceptional guest service throughout the planning process

  • Supports cross-selling opportunities between locations when appropriate

  • Responds promptly and professionally to guest inquiries and follows up to ensure satisfaction

  • Works collaboratively with all departments to ensure smooth event operations

  • Adheres to all guidelines established by the organization and leadership team


Qualifications

  • Event planning or hospitality experience preferred

  • Food and beverage experience in a polished dining environment preferred

  • Strong organizational and time management skills

  • Excellent written and verbal communication skills

  • Ability to multitask and manage multiple event timelines simultaneously

  • Professional appearance adhering to Cake Bake Shop uniform guidelines and impeccable hygiene

  • Bachelor’s degree in event planning, hospitality or related field is a plus

  • Ability to adhere to a 45-hour (minimum) work week with availability in the mornings or evenings, weekdays, weekends and holidays (if necessary)
